Who we are looking for:

We're looking for a structured and detail-oriented Finance & Operations Associate to help the Sovereign Tech Agency to operate effectively and continue to grow.

Your Tasks:

  • Work closely with the Finance & Operations Manager and the Commercial Managing Director
  • Assist with project controlling
  • Conduct market research, handle purchasing and procurement processes, and prepare procurement and approval documentation
  • Plan and book business travel, including preparation and processing of travel expense reports in line with the German Federal Travel Expenses Act (BRKG)
  • Review invoices
  • Create and maintain internal documentation of processes, manage operational software licenses, and administer our internal inventory
  • General office administration
  • Meeting minutes and documentation

Your Qualities:

  • Vocational training in business or public sector administration, or several years of equivalent professional experience
  • At least 3 years of relevant professional experience in a similar position
  • Substantial experience in managing public funds (public budgeting and procurement law); experience with EU projects is a plus
  • Business fluent in German and English o Our working language is English, so you must be able to communicate clearly and succinctly in English
  • You’re a team player and enjoy collaborating with coworkers, active and open communication, and both giving and receiving feedback.
  • You’re organized, self-directed, and proactive, working effectively with modern collaboration tools

What we offer:

  • Based on experience and qualifications, the annual compensation for this role (at 40 hours per week) is 49,000 - 68,000 Euro aligned with the TVöD-Bund wage agreement for the public sector.
  • Flexible and remote-friendly work arrangements from our office in Berlin-Mitte or in a hybrid model with the option for up to two days per week from home o We have four in-person team meetings in or around Berlin per year; almost all meetings are scheduled during GMT +1 working hours. o Employment under German law; work and residence must be in Germany
  • 30 days of vacation (based on a 5-day work week)
